  • The middle sentence is the most important — skip it and your response sounds automated. Even one specific detail (the name of a team member, the service they used) transforms the entire tone.

  • For negative reviews: don't apologize for things you didn't do wrong, but always acknowledge the experience they had. "I'm sorry you felt that way" is passive. "I'm sorry this happened" is better.

  • Avoid marketing language ("world-class service", "amazing experience") — it reads as fake. Keep the tone of a real person writing a real reply.

  • Respond within 48 hours for negative reviews. Delay signals you don't care.

How long should a review response be?

50–150 words is the sweet spot. Short enough to read, long enough to feel personal. Responses over 250 words rarely get read in full and can feel like PR damage control rather than genuine engagement.

Yes. Google responses are indexed and read by the widest audience — keep them clean and professional. Yelp has a culture of directness — more casual is fine. TripAdvisor readers are researching travel decisions, so slightly longer responses with specific details perform better.
